Executive Assistant, Full Time

Location: FDL Tribal Center
Supervisor: Executive Director - As Assigned
Closing Date: May 30, 2018

General Summary:

The Executive Assistant works closely with the Executive Director to provide administrative and professional assistance to Division Directors, and to coordinate projects between Divisions, and to undertake short and long term administrative planning and support

Position Responsibilities:

  • Works with Executive Director in the implementation of policies, procedures and goals established by the Reservation Business Committee.
  • Assists in the formulation of annual goals and objectives for the Reservation and Divisions.
  • Coordinates activities and procedures between Divisions.
  • Maintain awareness of development and trends in tribal governance and economic development.
  • Communicates and coordinates internal and external information with the Executive Director and Division Directors.
  • Prepares, researches and documents information for meetings involving issues and projects deemed necessary by the Executive Director.
  • Provide technical assistance, management consultation, policy development and support to Division Directors.
  • Analyze management or program problems, identifying alternatives and recommending and implementing solutions.
  • Assists with scheduling Board training and education sessions.
  • Answer telephone, providing appropriate information to callers, routing calls to proper staff, and taking complete and accurate messages.
  • Prepares correspondence as needed.
  • Assume responsibilities for scheduling the daily activities of the office, maintaining a calendar delineating application deadlines, reports, meetings, business engagements, and appointments to the Executive Director that they are assigned to.
  • Appropriate work attire is required.
  • Must attend all mandatory department trainings.
  • Ensures confidentiality of financial records and all records for employees and/or clients.
  • Displays a responsive and professional manner in promptly responding to all requests, complaints, and problems.
  • Recognizes that each employee is a representative of the Fond du Lac Band of Lake Superior Chippewa and is responsible for demonstrating courtesy, respect, and sensitivity to the needs of all others, including visitors and co-workers.
  • Represents the Fond du Lac Band of Lake Superior Chippewa and the department in a positive and professional manner in the community.
  • Required to maintain proper attendance including reporting to work on time in accordance with applicable policies.
  • Maintains a clean and organized work area.
  • Due to changes and modifications in the job from time to time, employees are required to be flexible and assume other responsibilities assigned by management as deemed necessary.

Physical Requirements:

  • Normal physical requirements.

Position Qualifications:

  • AA or AAS degree, or five years experience in administration, or a combination of education and experience is required.
  • Successful experience in administration, including program management and development, financial management, and strategic planning is required.
  • Knowledge of the principles and practices of public administration is required.
  • Knowledge of computer applications to include word processing, Access, Excel and Microsoft Outlook is required.
  • May be required to be licensed by the Fond du Lac Compliance department for a Class C Gaming License to work in and around Casino property and facilities.
  • Strong oral and written communication skills are required.
  • Ability to establish relationships with all parties involved, and facilitate harmonious working relationships at work and on projects, and permit prompt resolution of problems and conflicts as they occur is required
  • Ability to communicate effectively orally and in writing is required.
  • Ability to work independently and establish priorities is required.
  • Attention to detail and accuracy is required.
  • Ability to establish professional and harmonious working relationships on all projects and with all parties involved.
  • Subject to drug and alcohol testing in accordance with the Fond du Lac Reservation’s Personnel Policies.
  • Subject to pre-employment and annual background checks.
  • Some travel is required.
