Office Administrator, Full Time

Location: FDL Tribal Center
Supervisor: Operations Director

General Summary:

Provides secretarial and administrative support to the Operations Director and staff.

Position Responsibilities:

  • Prepares correspondence as needed.
  • Edit material for grammar, punctuation, and spelling.
  • Types and distributes weekly, monthly, quarterly, and yearly reports.
  • Handle all correspondence both incoming and outgoing; determining those items which require a response and in general, coordinate all of the activities that this entails.
  • Answer telephone, providing appropriate information to callers, routing calls to proper staff, and taking complete and accurate messages.
  • Keep attendance records for the staff.
  • Maintain adequate office supplies, order supplies as necessary.
  • Maintains a high degree of professionalism, observe etiquette, and practices strict confidentiality.
  • Assume responsibilities for scheduling the daily activities of the office, maintaining a calendar delineating application deadlines, reports, meetings, business engagements, and appointments.
  • Prepare, track, and pay all Purchase Orders for the Operations Division.
  • Assist the Director of Operations in developing appropriate tracking systems for various projects both electronic and manual.
  • Develops and maintains tracking systems for donations and sponsorships. Take incoming requests. Prepares requests for the Reservation Business Committee; submits documents for the Reservation Business Committee agenda. Notifies appropriate individuals as to the outcome of the requests. Prepares all documentation needed to finalize approved donations and/or sponsorship request.
  • Schedule travel arrangements for the staff; making sure proper approval is granted, prepare travel vouchers, advances, itineraries, reconcile travel reports and reimbursement of travel expenses.
  • Track and record all local travel expense reports, as well as all meeting expense reports, including gas receipts from Fond du Lac Gas & Grocery.
  • Develop and maintain all office related file systems both electronic and manual.
  • Sends reminders and submits quarterly and annual reports.
  • Appropriate work attire is required.
  • Must attend all mandatory department trainings.
  • Ensures confidentiality of financial records and all records for employees, band members and/or clients.
  • Displays a responsive and professional manner in promptly responding to all requests, complaints, and problems.
  • Recognizes that each employee is a representative of the Fond du Lac Band of Lake Superior Chippewa and is responsible for demonstrating courtesy, respect, and sensitivity to the needs of all others, including visitors and co-workers.
  • Represents the Fond du Lac Band of Lake Superior Chippewa and the department in a positive and professional manner in the community.
  • Required to maintain proper attendance including reporting to work on time in accordance with applicable policies.
  • Maintains a clean and organized work area.
  • Due to changes and modifications in the job from time to time, employees are required to be flexible and assume other responsibilities assigned by management as deemed necessary.

Physical Requirements:

  • Normal physical requirements.

Position Qualifications:

  • AAS/AA Degree in Business or Management; 5 years secretarial experience; or a combination of education and experience is required.
  • Must have thorough knowledge of office practices and procedures.
  • Must be able to work with minimal supervision and determine proper course of action.
  • Knowledge of computer applications to include word processing, Access, Excel and Microsoft Outlook is required.
  • Ability to communicate effectively orally and in writing is required.
  • Ability to work independently and establish priorities is required.
  • Attention to detail and accuracy is required.
  • Ability to establish professional and harmonious working relationships on all projects and with all parties involved.
  • Subject to drug and alcohol testing in accordance with the Fond du Lac Reservation’s Personnel Policies.
  • Subject to pre-employment and annual background checks.
